We are excited to announce the release of Policy Center 7.2.0. This version introduces a powerful new workflow module designed to streamline processes related to content management, review, and approval. This release empowers users with greater control and efficiency in creating, updating, and publishing content.
Key Features and Improvements:
- MVP Workflow Management: Gain hands-on experience with our intuitive workflow module. Easily create, read, update, and delete workflows, assign roles, add comments, and track audit trails.
- Flexible Role Assignments: Assign specific reviewer, editor, and approver roles to different users within your workflow. Ensure unique users are assigned to each subtask for clear accountability.
- Streamlined Content Upload: Upload content efficiently using our new CSV template upload option, allowing you to add multiple record classes at once and map columns directly to Policy Center fields.
- Enhanced Notification System: Stay informed with real-time updates! Enable notification preferences for tasks, comments, and events to receive timely alerts related to your workflows.
- Dynamic Workflow Process: Experience a seamless content journey from editing to review and approval. Our new features allow for mandatory comments on content rejection, automated change request subtasks for editors, and a clear path to publication.
- Robust Content Versioning: Utilize the new comparison tool to highlight changes made to content and leverage the revert option to restore content to its original state, ensuring accuracy and control.
- User-Friendly Workflow Customization: Before initiating a workflow, easily edit workflow details, including adding or changing libraries and updating user roles. Create multiple roles and subtasks for edit, review, and approval stages.
Important Notes:
- This release focuses specifically on the new workflow module. Retention schedule, portal, and library pages will not have updates related to actions performed within the workflow.
- Only users with the workflow admin role will have access to the application.
- All tasks within "My Task" must be manually marked as completed before a workflow can be published.
We anticipate this new workflow module will significantly enhance your content management capabilities within Policy Center. We are committed to continuous improvement and will be releasing other versions adding more capabilities to this feature.
Below some screenshots to guide usage:
- A Workflow Admin can create a workflow by adding a library, creating tasks and sub-tasks, and assigning users with roles to those tasks.
- A Workflow Editor can edit the details, libraries, and task information of an existing workflow.
- A Workflow Editor can add or edit content (such as a Record Class) to a newly created workflow, then send it to a reviewer and approver.
- The newly added workflow content, such as a Record Class, should be displayed in the treegrid.
- A notification should appear in the bell icon for all completed workflow actions.
Tasks:
- The Tasks page allows users to view their assigned tasks and use filters to refine the list.
Dashboard:
- The dashboard page should display the task count, a quick link to the My Tasks page, and a list of recent tasks.
